The role of office manager is to ensure that everyday things for the company run smoothly and are done efficiently. This is a part time position however you must be flexible it will be a 4/5 day week.

You will be responsible for managing a large part of the day to day running of the office. You will need strong organisational and interpersonal skills, as you will need to maintain good relationships at all levels of the organisation. You will need to be flexible in your approach, as the role covers a wide variety of duties.

Some duties will be shared with the directors PA, so you will be expected to liaise with her regularly.

Primary responsibilities

HR
• Liaison with recruitment agencies, initial screening of CV\'s and feeding them through to the appropriate person for consideration
• Scheduling interviews with prospective employees
• Issuing job offers and contracts
• Keeping copies of job descriptions for all roles
• Creating an induction pack (with relevant designer/strategist)
• Processing all necessary information about new joiners (e.g. payroll and tax details)
• Scheduling and organising appraisals
• Checking holiday requests and putting them in i-Cal
• Filing hard copies of offers, contracts, appraisals, etc
• Co-ordinating training requests and getting approval of required budget
• Helping to deliver team-building activities

Office management
• Helping a senior creative to source and procure additional furniture for the office, as required
• Finding and organising the office chef
• Ensuring insurance policies are up to date
• Renewing contracts with suppliers (e.g. security, cleaning, etc)
• Procurement of office materials

Financial
• Updating forecast sheet
• Invoicing
• Checking PO\'s have been received from clients
• Liaising with client service team on rechargeable expenses and issuing appropriate invoices

Studio management
• Completing and circulating work planning sheet
• Liaising with senior strategy/creatives to ensure work planning for next week matches their expectations
• Keeping details of potential freelance resource
• Liaising with senior creatives and strategists to resolve short term requests for resource
• Getting freelancers to sign confidentiality agreements
• Organising freelance time sheets
• Compiling a roster of placement students

Client service support
• Providing support to the client service team
• Keeping the client service list of external resources up to date

Social
• Organising birthday cards/cakes
• Organising leaving presents/drinks

Reception
• Being first point of contact for visitors to our office
• Answering phones
• Booking cabs
• Provide holiday cover for PA
